The Sales Administrator will be responsible for providing administrative and sales support to our Executive Vice President / Principals as well as the sales team. This person will play a pivotal role in developing and maintaining strong client relationships and customer satisfaction. Serving in an administrative function for the sales organization, the Sales Administrator will ensure that accurate and timely client information is entered into our CRM (Hubspot) and order statuses are accurately reflected in the ATS (Bullhorn). This role will also provide support with direct marketing communications to prospects and clients as well as support social media outreach (LinkedIn) for the sales team.
Essential Functions:
Administrative Support (Sales Division):
- Maintain ongoing travel and client budget tracking spreadsheets for sales organization
- Send sales team expenses and PTO requests to EVP for review
- Add sales team PTO to Principal’s calendars
- Make approved purchases on behalf of the sales team
- Support client gift giving initiatives (quarterly, holiday, or special occasions) – research options, place orders, ensure delivery, and track recipients
- Help plan and organize onboarding guides & training tools, resources, and best practices for new sales employees
- Document standard operating procedures and keep sales operations folders up-to-date
- Maintain the client referral tracking document for new roles brought in under Parker’s Staffing Services division
- Pull salary reports and conduct job market analysis as needed
- Track sales activity / related data and compile reports as needed
- Help update sales division progress on company presentations
Sales Support:
- Pull and manage new leads within our lead generation platform and seek out contact information from various online resources
- Manage prospects / clients in the CRM and ensure updated information is on file
- Draft and schedule sales email reach outs on behalf of the EVP
- Monitor and analyze email performance
- Manage LinkedIn account for EVP – create posts and connect with prospective clients
- Act as the Parker point of contact and liaise with the account managers for our sales technology platforms
- Review platforms in preparation of contract renewals to asses for best pricing and services on the market
Job Order Management:
- Track potential/incoming orders
- Enter, update, and close orders in Bullhorn
- Ensure accurate company and contact info is on file
- Add notes to job orders / contact records to track important changes
- Help calculate conversion fees due to Parker and update internal teams with corresponding agreements
Administrative Support (Company):
- Act as the on-site lead for all company meetings
- Event coordination and vendor management for company events
- Travel logistics – flights / hotel research and bookings, travel credits. etc
- Ad-hoc administrative tasks for Executive team as needed
Requirements:
- Excellent verbal and written communication skills
- Ability to adjust writing style and voice to attract different audiences
- Ability to successfully manage, prioritize, and complete tasks with a high sense of urgency
- Ability to adapt to changing priorities in a dynamic environment
- Ability to manage ongoing progress for assigned deliverables and meet deadlines
- Ability to capture feedback from stakeholders and incorporate it into deliverables
- Strong interpersonal skills to interact with different types of people and work effectively in a team-based environment
- Strong technical aptitude and user of tools such as Teams, Zoom, LinkedIn, MS Word, social media platforms, etc.
- Ability to quickly build trust and influence with community and professional stakeholders?
- Excellent problem-solving skills and ability to develop creative solutions
- Strong organizational skills and attention to detail
- Good visual acuity and understanding of design principles
- Knowledge of design software a plus but not required
