Executive Administrative Assistant needed for a non-profit Foster Care organization in WA

Pay Rate: $29.79 – $33.17 per hour
Location: Onsite in Seattle, WA
Schedule: Monday – Friday from 8 AM – 5 PM
Employment Type: Contract (est. 4 months)

As the Executive Administrative Specialist, you will need to be flexible, resilient, and use mental fortitude to support the company to see that their mission succeeds. Shapeshifting isn't necessary, but standing in for the team leaders during important meetings and interfacing with people at all levels will require your expert communication and active-listening skills! As a positive and professional role model in the organization you'll have the ability see into the future and anticipate your employer's needs, as well as everyone around them. Responsibilities:

Maintain multiple calendars and travel schedule. Works closely with executives, different teams, and other parties to ensure a well-coordinated schedule.

Works across multiple team to ensure accurate processing of invoices, expense reports and other financial items.

Prepares notes for collaboration and internal workgroup meetings and conference calls.
- Develop and maintain administrative processes, ensuring alignment with company policies and work unit goals.
- Coordinate team meetings and retreats and prepare materials for meetings.
- Serve as the subject matter expert on administrative issues, provide coaching and guidance to administrative staff as needed.
- Booking travel including flights and rental cars as needed

Manage projects and events in conjunction with manager team. Coordinate with the work units, external partners, and vendors to ensure successful project/event to completion.

Other duties as assigned
Requirements:
- Admin Experience strongly preferred
- Calendaring experience

Strong organizational skills and effective written and verbal communication skills are needed

A broad knowledge of computer software is required; advanced skills in the Microsoft Word and Microsoft Excel are desired

Ability to work independently, while also taking direction

Strong youth and family engagement skills; proven success working in a diverse, multi-cultural environment is required
