Administrative Assistant needed for a non profit supporting climate change efforts.

Job ID: 24139
Pay Rate: $23 per hour
Location: Downtown Seattle, WA
Work Arrangement: Hybrid (On-site 2 days per week) 
Employment Type: Contract to Hire 
Schedule: Monday-Friday 8am to 5pm

A growing alliance and change-maker, our client’s mission is to advocate for a clean and environmentally-friendly staple to our world. With some of their biggest and most effective projects, they’ll need some support which is why they’re looking to bring on an Administrative Assistant to help them succeed in their mission. Here’s some of what you’ll be doing to complete this power team…

Administrative Support

  • Monitor and manage email correspondences, track vendor communications, and support the team and leadership’s daily schedules.

  • Coordinate annual meetings and publishing calendars for 2024.

Event Planning

  • Procure event vendors and manage contracts with catering companies and hotels.

  • Participate in coordinating the upcoming conferences in march and may.

  • Handle consistent follow-ups to keep everything and everyone on track.

Vendor Relations

  • Contact and arrange headshot appointments for speaker headshots.

  • Follow up with photographers and the speakers to ensure that all headshots have been received and planning arrangements are in place.

  • Build solid relationships with stakeholders and board members, as well as working in tandem with their teams.

 
Experience we’re looking for in a candidate.

  • This role is an entry level position and any previous administrative support experience is a plus but not required

  • Thorough organizational skills and effective written and verbal communication skills are needed

  • Must be comfortable speaking with stakeholders and external community members, both in-person and via phones or emails

  • A broad knowledge of computer software is vital advanced skills in the Microsoft Word and Microsoft Excel are desired

  • Ability to work independently, while also taking direction

  • Interest in event planning with a growth mindset

  • Comfortable on phones and expert self starter and someone who can follow up

  • Driven by robust to-do lists and able to meet deadlines
