Facilities Administrative Assistant Needed for a Financial Institution in Seattle

Pay Rate: $25/HR to 28/HR
Location: Onsite in Seattle
Employment Type: Contract
Schedule: Monday thru Friday, 8am-5pm

This role involves managing daily facilities requests, ensuring efficient facility operations, and supporting maintenance services across various departments and branches. What your day looks like:
- Facilities Operations: Execute responsibilities in line with organizational policies, procedures, and OSHA requirements. Support facilities management by overseeing maintenance schedules, responding to urgent needs, and ensuring functionality of equipment.
- Inventory and Tracking: Manage inventory systems for keys, office supplies, security protocols, and both planned and unplanned maintenance.
- Vendor Management: Serve as the main point of contact for multiple vendors, ensuring high performance standards. Maintain vendor information and documents for proper contract management.
- Building Security: Open and close corporate offices daily, activate security systems, and follow protocols to secure facilities.
- Amenities Coordination: Manage document destruction, janitorial, waste removal, horticultural services, and other amenities.
- Facility Inspections: Assist with facility inspections by state and local authorities, including those related to construction projects and capital improvements.
- Collaboration and Support: Work closely with branches and departments to answer questions, resolve issues, and keep management informed of facility activities.
- Professional Excellence: Provide recommendations that align with our client’s mission and values, demonstrate a steadfast commitment to maintain regular and punctual attendance.
- Occasional Travel: Primarily in office role located in the Greater Seattle Area, WA with occasional travel to sites in the Puget Sound area and exposure to inclement weather, hazardous chemicals, and electrical or flooding emergencies. Some off-hour meetings and seminars may be required.
- Other Duties as Assigned.
Qualifications:
- Background in a financial institution.
- OSHA certification or equivalent training.
- High School Diploma or equivalent.
- 2+ years of experience in facilities services or a related field.
- Knowledge of security and safety industry standards and risk awareness.
- Experience with help desk ticketing, alarm systems, access control, and surveillance.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio).
- Must be able to perform tasks that may involve bending, stooping, and standing, and lift up to 50 pounds.
