The Patient Access Specialist III Schedistrar plays a vital role in ensuring seamless patient scheduling and registration processes. This role involves scheduling outpatient procedures, gathering and entering accurate patient, guarantor, and insurance information into the health information system, and managing scheduling requests from patients and physician offices. Additionally, the Specialist provides visit-specific information, answers patient inquiries, and triages requests effectively. What Your Day Looks Like:

  • Schedule outpatient procedures and coordinate requests from patients and physician offices via various communication methods (phone, fax, paper requisition, etc.).
  • Collect, verify, and input patient, guarantor, and insurance information into the health information system with high accuracy.
  • Attempt to collect estimated self-pay balances and arrange financial counseling sessions with guarantors, accurately document collection efforts, payment arrangements, and patient interactions to maintain clear communication and workflow continuity.
  • Act as a resource for patients, addressing financial and procedural questions and referring to Patient Financial Services when appropriate.
  • Provide patients with detailed information about their scheduled services to ensure preparedness.
  • Respond to and triage patient questions and requests professionally and efficiently.
  • Read, interpret, and operationalize federal and organizational policies related to COBRA, Medicare, HIPAA, and more.
  • Collaborate with other healthcare team members to support patient access operations.
  • Adaptability to changing workflows and business needs, enthusiasm for professional growth and development in the healthcare industry.
  • Commitment to providing excellent patient service and maintaining confidentiality.
  • Assist in onboarding new team members, coordinating care requests, and providing support at other locations as needed.
  • Other Duties as Assigned.

Qualifications

  • High School Diploma (HSD) or General Educational Diploma (GED).
  • Minimum of 1 year of healthcare experience in Patient Access Services, Practice Operations, or Patient Financial Services.
  • Certified Revenue Cycle Representative (CRCR) certification.
  • CPAR or CHAA certifications are acceptable upon hire, with CRCR certification required within 120 days of employment.
  • Bachelor’s degree or higher may substitute for experience.
  • Associate degree (Preferred but not Required).
  • 2 years of related experience in a healthcare setting, including at least 1 year performing financial counseling or preservice operations tasks, such as healthcare collections.
  • Strong written and verbal communication skills to interact with diverse healthcare team members.
  • High attention to detail, effective problem-solving, and critical thinking abilities.
  • Ability to work independently with a positive attitude.
  • Proficiency in typing/data entry (minimum 40 WPM) and cash handling/balancing.
  • Professionalism and active listening skills.

Preferred Qualifications:

  • Familiarity with medical terminology, CPT codes, HCPCS, and ICD-10 codes.
  • Understanding and interpretation of Explanation of Benefits (EOBs).
  • Experience with patient registration systems and Microsoft Office Suite.
  • Knowledge of Epic software.

Training and Onboarding Requirements:

  • Successful completion of the Patient Access Services (PAS) Operations Onboarding Training with a passing score of 90% on the final exam within 45 days of hire.
  • Eligible employees may progress to the HFMA Certification program with leadership approval.
