Part-Time Administrative Assistant Needed for a Professional Services Firm in Seattle, WA

Pay Rate: $25.00/HR
Location: Onsite in Seattle, WA
Employment Type: Contract
Schedule: 20 Hours/Week, 10am-2pm

A firm specializing in risk management and strategic solutions across industries is seeking a Part-Time Administrative Assistant to support its dynamic team. This role will play a key role in event coordination, administrative support, and office operations. The ideal candidate will be highly organized, detail-oriented, reliable, and proactive, thriving in a diverse environment with a mix of personalities and work styles

What Your Day Looks Like:
Event Coordination:

  • Assist in planning and scheduling social events, including monthly happy hours, staff appreciation events, summer gatherings, and the annual holiday party.
  • Support the Fun Committee in event setup, hosting, and execution.
  • Coordinate logistics for hub weeks, including happy hours and other team-building activities.

Daily Lunch Deliveries:

  • Receive and distribute lunch deliveries from three restaurants, ensuring timely organization and cleanup.
  • Manage unclaimed meals by storing them appropriately.

Library Support:

  • Help maintain and organize the actuarial book library, including inventory management.

Office Support:

  • Restock restroom supplies and office essentials.
    • Place supply orders as needed.
    • Schedule and coordinate meetings, sometimes providing direct administrative support.
    • Assist with light facilities tasks as required.

Other Duties as assigned.

What You Bring:

  • 1-3 years of administrative or event coordination experience.
  • Strong organizational skills with excellent follow-through and attention to detail.
  • Effective communication skills to ensure seamless event planning and team coordination.
  • Proficiency in Microsoft Excel (high usage), Teams, and SharePoint.
  • Ability to multitask and meet deadlines in a fast-paced environment.
  • Reliability and a proactive approach to problem-solving.
  • Comfortable working in a neurodiverse, introverted office environment.
  • Able to collaborate effectively with an outgoing event coordinator.
  • Adaptable to different work styles and personalities, ranging from highly social to highly analytical individuals.
