Schedule: Mon-Fri, 7:30am-4:00pm
A values-driven, diversified industrial business with operations across six locations is seeking a Human Resource Support Assistant to provide administrative, clerical, and technical support to the HR function. This role partners with Operations, Human Resources, and Payroll to ensure smooth coordination of projects and activities. The position is responsible for maintaining critical HR and employee dispatch records while serving as a vital connection between production employees, supervisors, and the Human Resources team.
This role is with a federally contracted employer and is subject to regulations that restrict employment to U.S. Persons only (i.e., U.S. Citizens, lawful permanent residents, legally recognized asylees, refugees, or individuals protected under the Immigration and Nationality Act). Candidates must provide documentation of their U.S. Persons status.

What Your Day Looks Like:
- Maintain the Kronos Human Resources/Payroll system to document employee status and work assignments, compile and format data, and prepare staffing reports for distribution.
- Process staffing requests, including preparing paperwork, dispatching requests to unions, initiating communication, and tracking efforts using spreadsheets or an applicant tracking system.
- Coordinate with Human Resources to facilitate the selection process, including scheduling interviews, contacting applicants, and tracking results.
- Assist employees with timecard and timekeeping instructions, paycheck distribution, weekly time entry processing, and job assignment inquiries.
- Monitor the attendance call-in line, record employee absences, maintain attendance records, and report excessive absences to the Operations Team.
- Support new employee onboarding by administering first-day activities, ensuring document completeness, and coordinating with safety and first aid teams for required testing.
- Apply knowledge of collective bargaining agreements to respond to employee questions and ensure compliance with provisions and benefits.
- Perform general administrative duties, including answering calls and emails, processing unemployment claims, maintaining records, filing, copying, and ordering supplies.
- Work under set guidelines but use sound judgment to determine appropriate actions based on specific situations.
- Independently manage clerical tasks and the hourly craft resource staffing process from receipt of craft needs through the onboarding process.
- Ensure production efficiency and profitability by meeting staffing responsibilities and avoiding shortages.
- Regularly interact with managers, supervisors, and hourly craft employees, as well as external contacts such as applicants, union representatives, and other hiring sources.
- Other duties as assigned.
What You Bring:
- High School Diploma or GED required.
- Minimum of two years of experience in a Customer Service or Human Resources role with knowledge of office procedures and practices.
- Experience with Kronos Workforce Timekeeper, Human Resource, and Payroll modules preferred.
- Proficiency in PC applications such as word processing, spreadsheets, and databases; data analysis and report writing.
- Understanding of human resources principles and employee record-keeping.
- Familiarity with staffing needs and terminology within an industrial setting.
- Ability to troubleshoot and research payroll or timekeeping issues.
- Effective communication skills, both written and verbal, with a professional demeanor.
- Strong problem-solving skills and ability to draw valid conclusions from data.
- Ability to work independently with minimal supervision and make timely, informed decisions.
- Strong organizational skills, with the ability to prioritize tasks in a fast-paced environment with frequent interruptions.
- Ability to provide excellent customer service and adapt to changing deadlines and constraints.
- Willingness to learn new processes and guidelines quickly.
- Ability to work in a fast-paced office setting with moderate to loud noise from production activity.
- Occasional travel within the industrial site may be required for administrative tasks.
- Frequent use of office equipment and computers, requiring visual acuity for reading, data entry, and document verification.
- While in production areas, the individual may be exposed to varying weather conditions, noise, dust, and odors.
