A law firm in Seattle tailoring legal solutions to help clients in a wide range of industries is seeking a friendly and customer-focused Front Office Coordinator to join the office team. As the first point of contact for clients and visitors, the Front Office Coordinator will play a critical role in creating a welcoming and professional environment. This full-time role also involves providing administrative support to the legal and business teams, ensuring smooth daily operations.

This role offers an exciting opportunity to be at the forefront of the firm’s operations, helping to create positive first impressions and contributing to the efficiency the team.

What Your Day Looks Like:

 

  • Warmly greet and assist clients, guests, and visitors upon arrival.
  • Answer and direct phone calls to the appropriate team members.
  • Manage conference room scheduling and set up for meetings.
  • Maintain an organized and tidy reception area.
  • Receive, scan, and route incoming mail and deliveries.
  • Arrange catering for in-office meetings and events.
  • Support the accounting team by collecting and reviewing receipts for firm credit card reconciliation.
  • Track parking validation and assist with guest registration.
  • Submit building maintenance requests and coordinate facilities-related tasks.
  • Provide administrative support to the legal and business departments as needed.
  • Other Duties as Assigned.

     
What You Bring:
 
  • Exceptional communication and interpersonal skills to interact professionally with clients and team members.
  • High School diploma or equivalent required; additional education is a plus.
  • Strong organizational skills with attention to detail and the ability to prioritize tasks effectively.
  • A positive attitude and commitment to delivering outstanding customer service.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Previous experience in a customer service or front desk role in a professional setting preferred.
