Administrative Assistant needed to support the Director of Operations for an all-natural cosmetics brand. This is a fast-paced, multi-faceted role providing administrative support in the areas of accounting and operations. The ideal candidate is tech-savvy and able to quickly learn new ERP systems. The Administrative Assistant will be a hands-on, integral part of team, bridging the gap between the manufacturer developing these products for release and the consumers ready to purchase.

Responsibilities:

  • Assist with Accounts Payable duties:
    • Enter invoices into ERP
    • Prepare weekly payments for check processing
    • Maintain vendor accounts in ERP systems
    • Help with bank reconciliations
    • Verify and enter employee expense reports
  • Monitor email inboxes
  • Handle customer service inquiries for returns
  • Record returns in the ERP system and process refunds
  • Prepare Accounts Receivable statements
  • Process incoming Amazon orders
  • Work with vendors to ensure the receipt of orders to the company warehouse
  • Work with internal teams to handle out of stock orders
  • Prepare shipping labels
  • Process international paperwork and shipping labels
  • Track and submit inventory expiration dates to ensure quality
  • Verify customer, contract, vendor, and other records for accuracy

Requirements:

  • Previous experience working in a fast-paced administrative role required
  • Experience working in accounting preferred 
  • Strong attention to detail
  • Experience working in an ERP system valuable
