Employment Type: Contract, approx 7 months
Schedule: Part Time, Tuesday, Wednesday, and half-day Thursday
A Seattle-based nonprofit tech organization focused on driving innovation to benefit all Washington residents is seeking a Program Event Coordinator to support administrative, event, and communications functions. This internally focused role plays a critical part in ensuring the smooth execution of programs and events that advance education, research, and entrepreneurship across Washington’s innovative economy.
This position works closely with Program Managers and the CEO to coordinate meetings, events, outreach, and general office operations. The ideal candidate is highly organized, detail-oriented, and communicative, with the ability to manage multiple projects simultaneously. This is a temporary role with the potential to transition into a long-term or permanent position.

Essential Duties and Responsibilities

Coordinate event schedules, communications, and logistics in partnership with Program Managers.

Provide administrative support for meetings, conferences, and events.

Assist event committees and planning groups, including volunteer coordination.

Manage AV needs and vendors, or set up and oversee online platforms as required.

Execute event marketing initiatives to drive engagement and participation.

Maintain accurate registration records in the database.

Support processing of registration payments, refunds, and related reporting.

Assist with catering, logistics, and on-site or virtual event operations.

Edit event recordings, manage post-event follow-up with speakers, and compile sponsor reports.

Actively engage in virtual meetings, trainings, and events.

Draft and proofread digital communications, including emails, newsletters, infographics, and promotional materials.

Update and maintain website content such as events, news, and community postings.

Provide administrative support including calendar management for the CEO, scheduling and coordinating committee meetings, and handling related communications and notes.

Perform data entry and other tasks as needed to support efficient office operations.

Qualifications

Strong organizational and administrative skills; excellent oral and written communications skills.

Demonstrated critical thinking and decision-making skills, excellent team player.

Strong computer skills, with demonstrated competency:

Data entry and database maintenance, including generating reports.

Mass mail platforms, MailChimp preferred.

Project management software, Asana preferred.

Microsoft Office Suite.

Teams or other online hosting platforms.

Website content management experience (Squarespace preferred).

Video & Graphic Editing, including Canva and Vimeo.

Social Media platforms, including LinkedIn.

Event registration platforms, Lu.ma preferred.
- Prior experience in conference management strongly preferred.
