Part Time Event Specialist needed for a Seattle Chamber of Commerce
Job ID: 25260
Pay Rate: $38/hr
Location: Downtown Seattle, WA
Work Arrangement: Onsite
Employment Type: Contract, 2-3 months, potential to extend
Part time -M-F during business hours of 8-5pm, 10 hours per week – 2-3 days in office
Responsibilities:
Event Support
- Provide administrative and logistical support for events, event series, and conferences, including the management of sponsorship benefit compliance.
- Maintain accurate and complete event registration databases while leading sponsor communication to drive event attendance.
- Identify and secure venues and/or organize online platforms or streaming and AV as required for events.
- Gather speaker materials and manage day-of-event operations, including coordinating with caterers, on-site and online logistics, and registration.
- Report on and assist with registration payments and refunds as directed.
- Edit event recordings, follow-up post-event with speakers, compile post-event reports for sponsors, and oversee all aspects of day-of-event operation
Communications
- Plan, write, and edit electronic communications, including emails, event graphics, electronic newsletters, infographics, and other promotional materials.
- Post social media content, post and market events and news, and monitor and report on traffic and engagement.
- Maintain website structure, manage events and community events boards, publish news articles, and post to the website as directed.
- Implement event marketing plans.
Administration
- Assist CEO with scheduling of board and committee meetings as well as other meetings as necessary.
- Take and distribute notes at board and committee meetings.
- Manage the CRM database, including creating and adjusting records as needed to ensure accuracy.
- Monitor shared inboxes.
- Responsible for maintaining and managing company SharePoint and OneDrive file repositories.
- Maintain the company’s online video file repository.
Requirements:
- Prior event planning experience required
- Experience working inside a CRM / Database – comfortable generating reports and accurately entering data
- High level of proficiency in Microsoft Office Suite (PowerPoint, Excel, Word) and Canva
