As?Assistant Office Manager, you’ll be responsible for ensuring the smooth and efficient operation of the office by providing comprehensive administrative support and overseeing daily workplace logistics. This role coordinates meetings and events, manages office supplies and vendor relationships, maintains organized records and archives, and partners closely with the Executive Assistant to support leadership and staff. The ideal candidate is highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities while contributing to a positive, well-run office environment. 

  

Essential Duties and Responsibilities  

  • Provide comprehensive administrative and office support, including managing mail, copying, scanning, filing, and coordinating office supply procurement. 

  • Coordinate meeting logistics by managing calendars, preparing conference rooms, arranging catering, and ensuring all materials are ready for internal and external meetings. 

  • Partner with the Executive Assistant to support the smooth operation and organization of the office environment. 

  • Maintain and organize company archives, ensuring historical records and firm materials are properly cataloged and securely stored. 

  • Liaise with building management and external vendors to address office maintenance needs and service requests. 

  • Support employee engagement initiatives and assist with planning and execution of internal events. 

  • Contribute to special administrative projects and perform additional duties as needed to support business operations. 

  • Other duties as assigned  

  

Qualifications  

  • Prior experience in an Office Manager, administrative, or operations support role, preferably within a professional services environment (e.g., legal, consulting, accounting, or similar). 

  • Proven ability to work independently as a self-starter who takes initiative, anticipates needs, and follows tasks through to completion with minimal supervision. 

  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines in a fast-paced office setting. 

  • Excellent written and verbal communication skills, with a polished and professional demeanor. 

  • High attention to detail and accuracy when handling confidential information and firm records. 

  • Demonstrated ability to coordinate across teams, vendors, and leadership to support daily operations and office logistics. 

  • Proficiency with common office technology and productivity tools (e.g., Microsoft Office, calendaring systems, document management platforms). 

  • Strong problem-solving skills, adaptability, and a service-oriented mindset. 

  • Ability to collaborate effectively as part of a team while maintaining ownership of assigned responsibilities.
