A healthcare organization committed to compassionate and customized patient care, with a strong focus on pediatric healthcare, is seeking a Senior Administrative Assistant to join the team.
As the Administrative Assistant, you will provide high-level administrative and organizational support to leaders and their teams, ensuring efficient day-to-day operations. This role serves as a central point of communication, manages calendars and meetings, prepares reports and presentations, and supports financial, project, and office coordination activities. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and the ability to handle confidential information while effectively managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities

Manage complex calendars and meeting schedules, including coordinating logistics, confirming attendance, and ensuring all materials are prepared in advance for leaders and their teams.

Serve as a central point of communication by screening calls, managing correspondence, and responding to inquiries from patients, staff, and external contacts in a professional and timely manner.

Prepare and format reports, charts, graphs, and presentations, and draft emails and documents on behalf of leadership as needed.

Support financial and data-related activities by gathering information, maintaining departmental records, and assisting with budget tracking and forecasting.

Coordinate office operations and workflows, including organizing special meetings and events, arranging audiovisual support and catering, and managing office supply inventory.

Arrange business travel, develop detailed itineraries, and prepare and submit expense reports in accordance with organizational guidelines.

Qualifications

Previous experience strongly preferred

Strong technical proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, with the ability to quickly learn new tools and systems.

Excellent organizational and time-management skills, with a proven ability to prioritize tasks, manage multiple deadlines, and maintain well-structured systems.

Clear and effective written and verbal communication skills, with the ability to adapt messaging for a variety of audiences.

Exceptional attention to detail, ensuring accuracy in document preparation, reporting, and data management.

Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.

Strong problem-solving skills, with the ability to identify issues, propose solutions, and resolve matters efficiently.
