Salary/Pay Rate: $65,000 – $75,000 per year + 10% discretionary annual bonus
Location: Onsite in Bethesda, MD
Employment Type: Direct Hire
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Our client is a well-established investment and asset management firm known for its collaborative culture, high employee tenure, and commitment to professional growth. The Bethesda office is home to approximately 30 employees and offers a highly engaged, in-person environment with strong leadership support, volunteerism opportunities, and regular team events. This role reports to the Office Manager and plays a critical part in supporting both daily office operations and senior leadership.
As the Administrative Assistant, you’ll be responsible for supporting executive leadership and ensuring smooth day-to-day office and asset management operations.
Essential Duties and Responsibilities
- Manage calendars, schedule meetings, and coordinate conference room and virtual meeting logistics
- Provide executive-level administrative support to two or more senior leaders, including expense reporting
- Arrange domestic and occasional international travel, including itineraries and coordination
- Prepare, format, and proofread correspondence, reports, and presentations using MS Word, Excel, PowerPoint, and Adobe
- Process invoices and expense reimbursements in accordance with company procedures
- Route documents for approvals and signatures using DocuSign and internal systems
- Maintain office supplies and ensure kitchen and common areas remain organized and professional
- Handle incoming and outgoing mail, FedEx, UPS, and courier services
- Serve as liaison with vendors, building management, and IT to support office operations
- Assist with office events, catering, and special gatherings
- Act as the office Notary Public for official documents (or obtain commission upon hire)
- Maintain accurate property and contact information in Nintex
- Collect and organize monthly portfolio variance reports
- Route and track property-level invoices for payment
- Other duties as assigned
Qualifications
- 3+ years of administrative or executive support experience in a professional office environment
- Experience supporting multiple leaders and managing complex calendars
- Active Notary Public commission or willingness to obtain upon hire
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Adobe PDF, DocuSign
- Strong organizational, communication, and multitasking skills
- High attention to detail and ability to maintain confidentiality
- Self-starter with a collaborative, service-oriented mindset
- Ability to thrive in a fully onsite, fast-paced environment
