Executive Assistant needed for a community-focused nonprofit in Seattle

Pay Rate: $25.00 per hour  
Location: Hybrid in Tacoma, WA 
Employment Type: Contract-to-Hire

As the Executive Assistant, you will need to be flexible, resilient, and use mental fortitude to support the company to see that their mission succeeds. Standing in for the team leaders during important meetings and interfacing with people at all levels will require your expert communication and active-listening skills! As a positive and professional role model in the organization you'll have the ability see into the future and anticipate your employer's needs, as well as everyone around them. Essential Duties and Responsibilities 

  • Answer and screen phone calls for the CEO; provides information and answers questions for contributors and staff; records messages; maintains appointment calendar; promotes public relations; deals with a variety of issues and concerns. 

  • Formats, types, and edits correspondence, documents, and reports which includes highly confidential materials; compose routine correspondence; monitors timelines for reports; makes travel and conference arrangements for CEO and Board members as directed. 

  • Opens and screens incoming mail; notes important dates for consideration by the CEO; processes outgoing mail. 

  • Research background information for reports, speeches, and correspondence in support of the CEO. 

  • Attends and records minutes of Board meetings and other assigned committees; coordinates meeting location; helps develop agenda items. 

  • Provides back-up services for senior management and other office staff. 

  • Other duties as assigned 

 

Qualifications 

  • High School Diploma or GED 

  • Required 2 Years of Relevant Experience (Executive Assistant experience strongly preferred)  

  • Professional demeanor and good interpersonal and customer service skills 

  • Reliable and flexible 

  • Excellent attention to detail and work quality 

  • Ability to multi-task and prioritize while maintaining composure and a positive attitude 

  • Strong oral and written communication skills 

  • Some experience in MS Office products, specifically Word, Outlook and Excel
