An American-owned and operated construction firm, driven to delight clients and project partners while fostering meaningful change in the industry and communities, is seeking a highly professional and organized Front Desk Coordinator.

As the Front Desk Coordinator, you will serve as the first point of contact for employees and visitors at our project office. This role requires excellent communication skills, a polished and professional demeanor, and a proactive attitude. You will be responsible for managing front-desk activities, coordinating office operations, and ensuring a welcoming and efficient environment.

What Your Day Looks Like:

  • Greet and welcome guests upon arrival, directing them to the appropriate office or contact.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Provide general company information to callers and visitors.
  • Maintain a tidy and presentable reception area.
  • Handle incoming and outgoing mail, including stamping, sorting, and distributing daily correspondence.
  • Ship and receive packages, process outgoing mail, and organize weekly corporate mail shipments.
  • Coordinate catering orders for office events and meetings.
  • Schedule and manage conference room bookings.
  • Manage Google Calendar scheduling for Project Executives and the management team (3-5 calendars).
  • Assist with coordination of regional events.
  • Track, order, and manage office supplies under the guidance of the Regional Senior Office Manager.
  • Ensure conference rooms and kitchen areas are clean, organized, and fully stocked.
  • Provide accounting support, including setting up vendors, creating purchase orders, submitting invoices, and ensuring payment processing.
  • Perform other administrative duties as assigned.

  • Highly polished communication skills, both verbal and written.
  • Self-starter with a proactive approach to problem-solving and multitasking.
  • Excellent interpersonal skills with a friendly and approachable demeanor.
  • Strong organizational skills with attention to detail.
  • Ability to handle a fast-paced work environment while maintaining professionalism.
  • Strong sense of reliability and accountability, particularly regarding attendance.
  • Experience in administrative or front desk roles preferred.
  • Proficiency in Microsoft Office Suite and Google Calendar.
