Office Administrator Needed for a Condominium Building

Pay Rate: $23.00/HR – $25.00/HR 
Work Setting: Onsite in Seattle, WA 
Employment Type: Contract  
Schedule: Full Time  
 
The Office Administrator is responsible for the efficient day-to-day operation of the condominium’s management office. Acting as the first point of contact for residents, contractors, and visitors, the Office Administrator ensures smooth communication, organizes administrative processes, and supports the property management team. Key responsibilities include handling resident inquiries, maintaining accurate records, coordinating building services, scheduling maintenance, and managing documentation related to operations, financials, and compliance. The ideal candidate is organized, detail-oriented, and possesses strong interpersonal and communication skills. 

 
What Your Day Looks Like: 

  • Coordinate and oversee third-party maintenance vendors, ensuring timely and cost-effective completion of work. 

  • Respond to resident inquiries, concerns, and service requests professionally and efficiently.  

  • Act as the primary liaison between residents, the condo board, and remote manager.  

  • Conduct orientations for new residents, assist with coordinating move in/outs, deliveries. 

  • Maintain records of building operations, vendor contracts, and resident communications. Track work orders and service schedules. 

  • Monitor general building conditions and report any maintenance issues to outsourced vendors or relevant parties. 

  • Draft and distribute building notices , newsletters (quarterly), and updates to residents via email, Building Link, posting on monitors in the building lobby and basement and poster 

  • Serve as the on-site point of contact for emergencies, coordinating with emergency services and vendors as needed. 

  • Other duties as assigned.  

What You Bring: 

  • Prior experience in building/facilities management, property management, or a related administrative role is a plus, but not required. 

  • Strong organizational skills, with the ability to manage multiple tasks and deadlines independently. 

  • Excellent communication skills, both written and verbal, with experience in drafting resident notices and professional correspondence. 

  • Customer service-oriented mindset with a proactive approach to problem-solving. 

  • Ability to work independently with minimal supervision while effectively coordinating with a remote manager. 

  • Proficiency in Microsoft Office Suite, email communication, and property management software (preferred). This is not required – they can be trained.
