Leave of Absence Administrative Specialist Needed for a for a Company Dedicated to Reusability
Job ID: 25015
Pay Rate: $36-39/hour
Location: Remote
Employment Type: Contract (2 months to start, could extend)
Schedule: Monday – Friday, 8 AM – 5 PM CDT
- ***This role could be full-time (preferred) or part-time (25-30 hours/week spread over 4 days, including Wed-Fri)

We are seeking a temporary Leave of Absence (LOA) Coordinator to provide hands-on support for LOA and time-off programs. This role will primarily focus on monitoring activities, executing transactions, and ensuring timely follow-up within our systems and processes.
Essential Duties and Responsibilities

Review team member leave cases twice weekly in the main tracking spreadsheet.

Monitor due dates (e.g., CHCP/5-day requirements) and ensure timely actions and follow-ups.

Flag delays or issues and escalate appropriately.

Respond to manager requests in UKG for Canada (12–15 requests per day).

Manage status changes and ensure accuracy of employee records.

Perform bi-weekly audits of data entry; review findings with leadership.

Provide bi-weekly support for timecard completion and compliance.

Assist with corrections and ensure alignment with leave status.

Receive and process leave and time-off notifications.

Research and validate information; escalate changes to leadership for implementation planning.

Act as an extra set of hands for the LOA team, ensuring timely and accurate handling of employee needs.

Qualifications
-
Experience in Leave of Absence administration (FMLA, disability, time-off programs) — required.

Strong knowledge of LOA processes, documentation, and compliance requirements.

Prior use of UKG PRO or similar HRIS systems strongly preferred.

Highly detail-oriented with ability to monitor, track, and audit large volumes of data.

Strong organizational and follow-up skills; able to work in a fast-paced environment.

Proficiency in Excel and reporting tools.

Excellent communication skills with ability to interact with employees, managers, and HR partners.
