Schedule: Part Time, 20 hours/week – Flexible days; shorter shifts across multiple days preferred
Our client is the nation’s largest operating foundation dedicated entirely to foster care. Since its founding in 1966, it has worked to improve the foster care system and ultimately prevent the need for foster care in the United States. Guided by its long-term strategy to safely reduce the number of children in foster care while improving outcomes for those who remain, the foundation combines decades of front-line experience with research and policy advocacy. It partners with states, counties, and policymakers at all levels to identify and implement improvements in child welfare practices.
As a Part-Time Administrative Assistant, you’ll support the Executive Assistant to the CEO and play an important role in ensuring smooth day-to-day operations at the executive level. This is an excellent opportunity for someone polished, professional, and comfortable interacting with a wide variety of stakeholders including senior leaders, community partners, and city/county officials. This position is expected to remain part-time at approximately 20 hours/week.
Essential Duties and Responsibilities

Assist with mail sorting and distribution.

Support contract and grant signing processes by tracking documents, ensuring timely review by the CEO, and following up as needed.

Prepare and submit expense reports for the CEO and Executive Assistant; invoicing experience is a plus but not required.

Assist with booking conference rooms, ordering catering, setting up/tidying after meetings.

Coordinate elements of CEO travel, including itinerary preparation, travel booking, and assembling information packets.

Scan, organize, and upload meeting documents, minutes, and other files into SharePoint.

Collaborate with the executive assistant team and provide additional support as needed.

Other administrative duties as assigned.
Qualifications
-
Prior administrative experience supporting executives, ideally at the C-suite level.

Proficiency in Microsoft Office Suite and SharePoint required.

Strong organizational skills with attention to detail and follow-through.

Professional and polished communication skills; able to interact effectively with individuals at all organizational levels.

Experience with expense reporting and/or travel booking strongly preferred.

Ability to manage multiple tasks independently while maintaining professionalism.

Flexible availability across multiple weekdays (approx. 20 hours/week).
