Schedule: Monday – Friday, 8:30 AM – 4:30 PM

The Office Assistant provides essential administrative and front desk support to ensure smooth daily office operations. This role is responsible for managing mail and shipping activities, including coordinating courier services, greeting visitors, answering phones, and assisting with general clerical tasks. The Office Assistant plays a key role in maintaining an organized, professional office environment while supporting internal teams with a variety of administrative needs. 

Essential Duties and Responsibilities  

  • Provide general administrative support to ensure efficient day-to-day office operations 

  • Manage incoming and outgoing mail, including sorting, distributing, and preparing shipments 

  • Coordinate shipping and receiving tasks, including FedEx and other courier services 

  • Serve as front desk coverage by greeting visitors, answering phones, and directing inquiries 

  • Maintain office organization, including filing, data entry, and document management 

  • Assist with scheduling, calendar coordination, and meeting preparation 

  • Order and restock office supplies and maintain common areas 

  • Support internal teams with ad hoc administrative tasks and special projects 

  • Maintain professionalism and confidentiality when handling sensitive information 

  • Other duties as assigned  

Qualifications  

  • High school diploma or equivalent required; additional education or coursework is a plus 

  • Previous administrative, office support, or customer service experience preferred 

  • Strong organizational and time-management skills with attention to detail 

  • Ability to manage multiple tasks and prioritize in a fast-paced environment 

  • Professional verbal and written communication skills 

  • Comfortable providing front desk or customer-facing support 

  • Basic computer proficiency, including email, word processing, and spreadsheets 

  • Ability to work independently as well as part of a team 

  • Reliable, punctual, and professional in appearance and conduct
