As Office Manager, you will oversee daily office operations to ensure efficient workflows, excellent patient service, and adherence to organizational policies and procedures. You will lead and support administrative and support staff, align team efforts with practice goals, and foster a positive, accountable team environment. You will also manage key operational functions including scheduling coordination, payroll, compliance activities, and patient-facing administrative processes. In this role, you will monitor practice performance, manage resources responsibly, and collaborate with leadership to achieve operational and financial objectives. 

Essential Duties and Responsibilities

  • Oversee daily office operations to ensure efficient workflows, on-time provider schedules, and adherence to policies and procedures. 

  • Prioritize and manage administrative tasks, adjusting processes to improve efficiency and patient experience. 

  • Maintain accurate records for office operations, vendors, policies, and compliance requirements. 

  • Partner with HR and Clinical Management to ensure completion of required HR activities and staff training. 

  • Coordinate OSHA and other compliance training, maintain documentation, and support regulatory inspections. 

  • Manage team payroll and provide operational coverage as needed. 

  • Oversee referrals, authorizations, billing coordination, and other patient-facing administrative functions. 

  • Represent the practice within the community. 

  • Align team efforts and projects with KPIs and organizational goals set by executive leadership. 

  • Supervise administrative and support staff, vendors, and coordination with the call center. 

  • Recruit, interview, hire, and onboard administrative and support team members. 

  • Coach and develop staff through training, feedback, and performance management. 

  • Foster team engagement and recognize employee contributions. 

  • Conduct regular performance reviews and implement improvement or corrective action plans with HR and leadership. 

  • Lead daily huddles and monthly office meetings to communicate priorities and track progress. 

  • Monitor operational costs and maintain expenses within approved budgets. 

  • Review practice performance and financial reports and implement improvement plans to address gaps. 

  • Ensure proper handling of cash, checks, and financial documentation, including accurate and timely deposits. 

  • Participate in meetings, complete assigned projects, maintain knowledge of office and fiscal management practices, and perform other duties as assigned. 

Qualifications  

  • Associate’s or Bachelor’s degree required; healthcare-related degree preferred. 

  • 3–5 years of relevant administrative or office management experience. 

  • Equivalent combination of education and professional experience may be considered. 

  • Proficiency with computer systems, including Microsoft Office applications, email platforms, electronic health records (EHR), and other web-based software programs.
