Administrative Assistant Needed for a Foster Care Organization in Seattle, WA

Location: Onsite in Seattle, WA 
Employment Type: Contract  
Schedule: Part-Time, 4 Days a Week, 32 Hours

As Administrative Assistant, you’ll be responsible for processing inbound and outbound data utilizing your tech savvy skills, providing outstanding customer service, assisting throughout the hiring process, and maintaining consistent organization. You will be responsible for providing friendly customer service to guests and staff by supporting reception activities and the administrative flow of the office.  Through your attention to detail and warm, friendly attitude you’ll provide a great experience to those entering the business and help support daily operations.  

Essential Duties and Responsibilities  

  • Support invoicing and billing processes, including tracking payments and ensuring invoices are routed to the appropriate contacts for timely processing 

  • Serve as a central point of contact for internal and external stakeholders, managing communications and directing inquiries to the appropriate teams 

  • Assist with compiling and generating quarterly reports by accessing internal systems and pulling relevant data and metrics 

  • Coordinate and schedule meetings across large groups, including sessions with 100+ participants, ensuring all logistics are handled efficiently 

  • Partner with administrative and executive support staff to organize event logistics such as hotel accommodations, meeting spaces, and venue arrangements 

  • Manage event-related details including room blocks, conference space coordination, and vendor communication as needed 

  • Develop and distribute clear, professional communications to event attendees, including agendas, schedules, location details, and timelines 

  • Organize and support virtual meetings, including scheduling and coordinating Zoom sessions for smaller or remote groups 

  • Assist in preparing meeting materials, including agendas and schedules, to ensure well-structured and productive meetings 

  • Other duties as assigned  

  

Qualifications  

  • Prior experience in administrative support, coordination, or a related role preferred  

  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively 

  • Clear and professional communication skills, both written and verbal 

  • Ability to coordinate logistics and support meetings or events with attention to detail 

  • Comfortable working with basic office tools and systems, including email, calendars, and spreadsheets 

  • Willingness to learn new processes, tools, and internal systems as needed 

  • Ability to collaborate with a variety of stakeholders and work both independently and as part of a team 

  • Strong problem-solving skills and a proactive approach to supporting team needs 

  • Experience with scheduling, reporting, or event coordination is a plus but not required 

  • Adaptable and able to thrive in a dynamic, fast-paced environment
