As the Executive Assistant, you will provide high-level support to senior leadership, ensuring daily operations run smoothly and efficiently. You will manage complex schedules, coordinate travel, and serve as a key point of communication across internal teams and external stakeholders. This role requires strong organizational skills, sound judgment, and the ability to anticipate needs while maintaining discretion and professionalism. You will play an essential role in creating a seamless, well-coordinated environment by adapting to shifting priorities and supporting leadership with a proactive, solutions-oriented approach.
Essential Duties and Responsibilities

Manage complex calendars for senior leadership, resolving scheduling conflicts and ensuring priorities are aligned across stakeholders

Coordinate and arrange domestic and international travel, including flights, accommodations, transportation, dining, and detailed itineraries

Serve as a primary point of contact for the CEO, balancing competing demands and ensuring time is allocated effectively

Handle sensitive and confidential information with a high level of discretion, sound judgment, and professionalism

Facilitate communication between executives, employees, and external partners, maintaining a diplomatic and approachable presence

Regularly align with executive leadership to assess priorities, adjust schedules, and anticipate upcoming needs

Evaluate incoming requests and delegate or redirect tasks based on urgency, team capacity, and business priorities

Support interactions with board members and advisors, including scheduling, communications, and meeting coordination

Coordinate high-level scheduling for candidates, executives, and VIP guests, ensuring a seamless and professional experience

Create an organized, welcoming environment by proactively managing logistics, communications, and day-to-day operations
-
Adapt quickly to changing priorities, stepping in to provide additional support to senior leadership as needed

Other duties as assigned
Qualifications

Demonstrated ability to follow direction while working independently and proactively anticipating executive and team needs

Strong judgment and discretion when handling sensitive information and making decisions

Proficiency with common business and communication tools, including email platforms, calendar systems, video conferencing, and team collaboration software

Experience supporting interactions with external stakeholders such as investors, corporate partners, or senior business leaders is preferred
-
Familiarity with healthcare, medical device, or clinical environments is a plus
-
Ability to remain seated for extended periods while performing computer-based tasks
-
Capability to occasionally lift and move items weighing up to 15–20 pounds

Strong verbal and written communication skills across in-person, phone, and digital channels

Sufficient manual dexterity to operate computers and standard office equipment
