As the Accounting Specialist, you will support day-to-day financial operations by managing accounts payable, assisting with payroll processing, and maintaining accurate financial records. This role also provides support for key HR functions, including onboarding, offboarding, and benefits administration. You will collaborate with internal teams to ensure smooth and compliant processes while utilizing accounting systems and Excel to track and report data. Success in this role requires strong attention to detail, the ability to work efficiently in a fast-paced environment, and a proactive, team-oriented approach.
Essential Duties and Responsibilities
- Previous experience in accounting, accounts payable, or payroll administration

Process weekly and biweekly payroll, including regular and certified payroll, ensuring accurate calculations of wages, taxes, and deductions

Track and maintain employee PTO and sick leave balances while ensuring records remain accurate and compliant with applicable regulations

Maintain employee records and handle sensitive information with a high level of confidentiality

Process, code, and manage vendor invoices, ensuring accuracy, proper approvals, and timely payment

Match invoices to purchase orders and resolve discrepancies or billing issues with vendors

Maintain vendor records and support ongoing vendor communication and issue resolution

Monitor expenses, budgets, and company spending to support cost control efforts

Manage credit card transactions, including receipt tracking and expense coding

Support inventory tracking, purchasing, and supply management activities
-
Assist with preparing and issuing customer invoices, including progress billing as needed
-
Monitor accounts receivable, follow up on outstanding balances, and support timely collections

Apply customer payments and maintain accurate customer account records

Research and resolve billing discrepancies with customers or project stakeholders

Maintain organized and secure financial, vendor, and employee records
-
Support onboarding and offboarding processes, including benefits administration

Assist with tax-related processes, year-end reporting, and audit preparation
-
Collaborate with internal teams to support accounting and operational workflows
-
Provide support on accounting or project management systems as needed

Other duties as assigned
Qualifications

Experience processing payroll, including exposure to certified payroll or prevailing wage reporting preferred

Strong understanding of basic accounting principles and financial processes

Proficiency in Microsoft Excel, including the ability to manage and analyze data

Experience with accounting or ERP systems; familiarity with construction or project-based environments is a plus

Knowledge of accounts payable processes, including invoice processing, coding, and reconciliation

Exposure to accounts receivable functions such as invoicing, collections, and payment application preferred

Familiarity with employee recordkeeping, compliance requirements, and general HR support functions

Strong attention to detail with a high degree of accuracy in financial and data entry tasks

Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Strong problem-solving skills with the ability to identify and resolve discrepancies

Excellent organizational and recordkeeping skills

Effective communication skills with the ability to collaborate across teams and interact with vendors and customers

High level of discretion and ability to handle confidential information

Positive, team-oriented attitude with a strong work ethic and willingness to learn
