As the Scheduler, you will coordinate and schedule surgical procedures while serving as a primary point of contact for patients, providers, and clinical teams. You will ensure surgeries are scheduled accurately and efficiently by coordinating operating room availability, obtaining required authorizations, scheduling pre- and post-operative appointments, and maintaining accurate documentation in Epic. The ideal candidate has prior surgical scheduling experience, is proficient in Epic, and thrives in a fast-paced healthcare environment while delivering exceptional patient service. 

  

Essential Duties and Responsibilities  

  • Schedule and coordinate surgical procedures in accordance with provider and facility availability. 

  • Communicate with patients regarding surgery dates, pre-operative instructions, and required documentation. 

  • Verify patient demographics, insurance information, and obtain required authorizations as needed. 

  • Coordinate with surgeons, operating rooms, anesthesia teams, and other departments to ensure scheduling accuracy. 

  • Schedule pre-operative and post-operative appointments and testing. 

  • Update patient information and maintain accurate records in the electronic medical record (EMR) system. 

  • Manage schedule changes, cancellations, and urgent procedure requests. 

  • Confirm receipt of required medical records, referrals, and surgical documentation prior to procedures. 

  • Serve as a liaison between patients, providers, and healthcare teams to facilitate timely communication. 

  • Maintain patient confidentiality and comply with HIPAA and organizational policies. 

  • Perform other administrative duties and support the surgical team as assigned. 

  • Other duties as assigned  

  

Qualifications  

  • Previous medical scheduling experience, with prior surgical scheduling experience required. 

  • Experience using Epic (EPIC) electronic medical record (EMR) system required. 

  • Knowledge of surgical scheduling processes, medical terminology, and healthcare procedures. 

  • Familiarity with insurance verification, prior authorizations, and referrals. 

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. 

  • Excellent verbal and written communication skills with a patient-focused approach. 

  • Strong attention to detail and commitment to accuracy. 

  • Proficiency with Microsoft Office Suite and other standard office applications. 

  • Ability to work collaboratively with providers, clinical staff, and administrative teams. 

  • Ability to maintain confidentiality and comply with HIPAA regulations.
