As the Executive Assistant, you will provide high-level administrative and project support to senior leadership, managing complex scheduling, frequent travel, expenses, budgets, meetings, and other departmental priorities. You will serve as a polished and resourceful point of contact for internal and external stakeholders while supporting contract administration, report preparation, strategic initiatives, and research needs. This role is ideal for someone who is highly organized, detail-oriented, and comfortable conducting thoughtful research and due diligence while managing multiple priorities in a fast-paced, collaborative environment.

Essential Duties and Responsibilities  

  • Manage a high-volume executive calendar, coordinating meetings with senior internal leaders, external partners, and foundation executives with diplomacy and efficiency. 

  • Coordinate frequent domestic travel, including airfare, hotels, rental cars, itineraries, and post-travel expense reporting. 

  • Process and route invoices, prepare expense reports, and ensure accurate coding and approvals. 

  • Assist with budget tracking and monitoring across multiple projects, partnerships, and external organizations. 

  • Support contract administration by preparing work plans, coordinating documentation, and assisting with contract processing and troubleshooting. 

  • Edit, format, and prepare reports and other materials for publication in collaboration with Communications. 

  • Prepare meeting materials, take detailed minutes, and edit and distribute notes for committees and leadership groups. 

  • Provide administrative and project support for strategic planning initiatives and departmental priorities. 

  • Research, locate, and obtain relevant literature and resources, including conducting preliminary topic searches and organizing findings for internal use. 

  • Support office organization and workspace transitions, including coordinating the unpacking and organization of materials following office moves. 

  • Maintain a polished, professional presence when communicating with senior executives, external partners, and other key stakeholders. 

  • Other duties as assigned  

  

Qualifications  

  • Prior experience supporting senior executives in a fast-paced, highly professional environment. 

  • Strong calendar management and scheduling skills, including coordination with high-level internal and external stakeholders. 

  • Polished communication style with strong judgment, discretion, and professionalism. 

  • Experience coordinating complex domestic travel and preparing expense reports. 

  • Familiarity with invoice processing, budget tracking, and general financial administration. 

  • Strong organizational skills with the ability to manage multiple priorities, projects, and deadlines simultaneously. 

  • Excellent written communication, editing, formatting, and meeting documentation skills. 

  • Comfortable supporting contract-related administrative processes and troubleshooting workflow issues. 

  • Strong research and information-gathering skills, with the ability to locate, review, and organize relevant literature and resources. 

  • Background in research, literature review, academic support, or a similar environment preferred. 

  • Resourceful and detail-oriented, with the ability to conduct thorough due diligence and independently follow through on requests. 

  • Proficiency with standard office technology and willingness to learn internal systems, templates, and AI-enabled research tools.
