As the Administrative Coordinator, you will support day-to-day operations by managing contracts and reporting processes, tracking budgets and expenses, and maintaining accurate data and administrative systems. You will collaborate with cross-functional teams to ensure compliance with guidelines, support program activities, and provide general administrative and operational support to maintain efficient and organized workflows. 

  

Essential Duties and Responsibilities  

  • Coordinate contract and grant activities, including tracking deadlines and supporting application processes.  

  • Prepare and maintain regular reports by compiling program and financial data.  

  • Track budgets and expenses, ensuring compliance with guidelines and providing updates to leadership.  

  • Process financial transactions and maintain accurate financial records.  

  • Manage and maintain databases, spreadsheets, and data tracking systems.  

  • Support data entry, reporting, and basic troubleshooting for internal systems.  

  • Maintain organized filing systems and administrative procedures.  

  • Coordinate purchasing of supplies and vendor relationships.  

  • Provide general administrative and office support, including equipment coordination.  

  • Collaborate with internal teams to support daily operations and program needs.  

  • Assist in maintaining a safe and organized work environment.  

  • Participate in meetings, trainings, and team initiatives. 

  • Other duties as assigned  

  

Qualifications  

  • Bachelor’s degree in business, finance, accounting, or a related field, plus relevant experience; or equivalent combination of education and experience. 

  • Experience in contract administration, grants management, or financial/office operations strongly preferred. 

  • Strong written and verbal communication skills. 

  • Ability to interpret guidelines, analyze information, and adapt to changing requirements. 

  • Experience working with databases, reporting systems, and data analysis. 

  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines. 

  • Ability to work both independently and collaboratively in a team environment. 

  • Commitment to working with diverse populations and maintaining professionalism and confidentiality.
