As the Executive Assistant, you will provide high-level administrative support to senior leadership while ensuring the smooth coordination of daily operations. In this role, you will manage complex calendars, facilitate communication, and handle a variety of administrative and clerical tasks that keep the office running efficiently. You will serve as a key point of contact for internal teams and external stakeholders, maintain organized workspaces, and support meeting preparation, travel coordination, and expense tracking. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, team-oriented environment while maintaining a high level of professionalism.
Essential Duties and Responsibilities

Provide comprehensive administrative support to senior leadership, ensuring day-to-day operations run smoothly

Manage calendars, coordinate scheduling, and organize appointments for leadership team members

Serve as the first point of contact for visitors, handling reception duties, answering calls, and directing inquiries appropriately

Oversee incoming and outgoing mail, packages, and deliveries to ensure timely distribution

Maintain professional and organized common areas, including conference rooms and reception spaces, while managing room scheduling
-
Monitor and replenish office and kitchen supplies, coordinating orders as needed
-
Perform a variety of clerical tasks such as document preparation, filing, copying, and mailing
-
Process and monitor expense reports, ensuring accuracy and timely submission
-
Coordinate travel logistics and prepare detailed itineraries and supporting materials for business trips
-
Assemble and distribute meeting materials and presentations as needed
-
Create, edit, and format documents using Microsoft Office and other business tools
-
Manage incoming calls and ensure messages are accurately recorded and relayed promptly
-
Support internal events by assisting with planning and coordination efforts
-
Assist with updates and maintenance of internal or external websites as needed

Other duties as assigned
Qualifications

Minimum of 2+ years of experience in an administrative or office support role preferred
-
Demonstrated proficiency with business tools such as Microsoft Office Suite, Zoom, Google Workspace, and file-sharing platforms
-
Associate’s or bachelor’s degree, or equivalent vocational training, is preferred
-
Prior experience working in a professional office environment is a plus
-
Familiarity with leveraging AI tools or automation to improve workflow efficiency is highly desirable

Strong organizational skills with a high level of accuracy and attention to detail

Ability to manage multiple priorities effectively in a fast-paced, deadline-driven setting

Professional demeanor with strong interpersonal skills and a consistently positive attitude

Proven ability to collaborate and contribute within a team-oriented environment

Interest in learning about and supporting work within the venture capital space

Self-starter mindset with the ability to quickly adapt and contribute from day one

Availability to work primarily onsite during designated weekday hours, with flexibility to manage occasional remote responsibilities
