As the Executive Assistant, you will provide high-level administrative and operational support to executive leadership while helping drive organizational efficiency and day-to-day business operations. This role is responsible for managing schedules, coordinating communications, supporting projects and process improvements, organizing meetings and events, and maintaining confidential business information. The Executive Assistant serves as a key partner across departments, ensuring priorities, workflows, and administrative functions are managed effectively in a fast-paced professional environment. 

  

Essential Duties and Responsibilities  

  • Provide administrative support to executive leadership, including calendar management, travel coordination, and expense reporting  

  • Coordinate meetings, communications, presentations, and company documents  

  • Maintain organized filing systems, records, and administrative processes  

  • Support office operations, including supplies, mail distribution, and visitor reception  

  • Assist with planning company events, meetings, and employee programs  

  • Prepare meeting agendas, notes, reports, and other business materials  

  • Coordinate onboarding, interviews, and cross-functional administrative activities  

  • Support projects, process improvements, and workflow coordination initiatives  

  • Track budgets, expenses, timelines, and operational data for reporting purposes  

  • Maintain professional communication with internal teams, clients, and vendors  

  • Provide general administrative support and assist with special projects as needed 

  • Other duties as assigned  

  

Qualifications  

  • Bachelor’s degree required 

  • Equivalent experience preferred  

  • Project management certification preferred  

  • Notary Public certification preferred  

  • 10+ years of administrative support experience, including executive support and project coordination  

  • Advanced proficiency in Microsoft Office Suite, including Teams  

  • Experience with business systems such as Salesforce, SharePoint, Workday, and project management platforms preferred  

  • Strong organizational, multitasking, and time management skills  

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment  

  • Knowledge of workflow coordination and process improvement practices  

  • Strong communication and interpersonal skills  

  • Ability to maintain confidentiality and exercise professionalism at all times
