Location: Hybrid in Renton, WA
Employment Type: Contract (6 Months)
Schedule: Monday – Friday, 7 AM – 3:30 PM or 7:30 AM – 4 PM

As the Executive Assistant, you will provide high-level administrative support to executive leadership by managing complex calendars, coordinating travel, preparing board and executive meeting materials, and overseeing a variety of confidential administrative projects. This role serves as a key liaison between executives, legal counsel, board members, and external stakeholders while supporting compliance, governance, and operational initiatives. The ideal candidate is highly organized, detail-oriented, and capable of managing sensitive information in a fast-paced, professional environment.
Essential Duties and Responsibilities

Manage complex executive calendars, scheduling, and meeting coordination across multiple stakeholders.

Coordinate domestic and international travel arrangements, including itineraries and expense reimbursements.

Prepare, format, and compile executive reports, board books, presentations, and meeting materials.

Provide administrative support for board meetings, including document preparation and distribution.

Serve as a liaison between executive leadership, legal counsel, board members, and external partners.

Coordinate meetings with government officials, community partners, and other external stakeholders.

Maintain and organize confidential legal, compliance, insurance, and risk management documentation.

Support compliance activities by managing policy reviews, renewals, and document distribution.

Assist with legal administrative functions, including document requests and subpoena-related coordination.

Process invoices, reimbursements, and other administrative financial transactions.

Manage electronic document workflows using digital signature platforms.

Maintain organized records and files within shared document management systems.

Qualifications
-
Previous Executive Assistant experience supporting senior executives or C-suite leadership required.

Previous experience supporting legal, healthcare, or other highly regulated industries strongly preferred.

Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

Experience managing complex executive calendars, travel coordination, and meeting logistics.

Proficiency with electronic signature platforms such as DocuSign or Adobe Sign.

Experience preparing board materials, executive presentations, and confidential reports.

Strong organizational, project management, and multitasking skills with exceptional attention to detail.

Excellent written and verbal communication skills with the ability to interact professionally with executives, board members, legal counsel, and external stakeholders.

Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Experience processing expense reports, reimbursements, and administrative financial tasks preferred.

Self-motivated, resourceful, and able to manage multiple priorities in a fast-paced environment.
