Schedule: Part Time, 20-30 Hours per Week

As the Executive Assistant, you will provide high-level administrative and organizational support to the Executive Director, senior leadership team, and Board of Trustees. This role is responsible for coordinating executive and Board activities, managing governance documentation, supporting meetings and special events, and ensuring the efficient operation of key administrative functions. The ideal candidate is a highly organized, proactive professional with exceptional communication skills, sound judgment, and the ability to manage confidential information while building strong relationships with leadership, Trustees, and community stakeholders.
Essential Duties and Responsibilities
- Provide administrative support to executive leadership.
- Manage executive calendars, meetings, and appointments.
- Process expense reports and executive documentation.
- Coordinate leadership meetings and track action items.
- Serve as liaison to the Board of Trustees and Committees.
- Prepare and distribute Board meeting materials.
- Coordinate Board meetings, events, and Trustee orientations.
- Record meeting minutes and maintain governance records.
- Maintain Board rosters, policies, and committee documentation.
- Support Trustee recruitment and onboarding activities.
- Manage organizational contracts and administrative records.
- Monitor shared inboxes and respond to inquiries.
- Coordinate office supplies, mail, and daily office operations.
- Receive and process incoming payments.
Qualifications
- 3+ years of administrative support experience; executive-level support preferred.
- Excellent organizational, time management, and multitasking skills.
- Strong written, verbal, and interpersonal communication abilities.
- Proven ability to prioritize work and manage multiple deadlines.
- Self-motivated with the ability to work independently and exercise sound judgment.
- Professional, service-oriented approach with exceptional relationship-building skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficient in Microsoft Office Suite and standard office technology.
- Comfortable working collaboratively with leadership, board members, volunteers, vendors, and the public.
- Strong attention to detail with analytical and problem-solving abilities.
- Ability to prepare business correspondence, reports, and meeting materials.
- Basic mathematical and data interpretation skills.
- Willingness to work occasional evenings and weekends for meetings and special events.
