Schedule: Full Time, 40 Hours Per Week

As the Senior Administrative Assistant, you will provide high-level administrative and operational support to the Investments team and Chief Investment Officer. You will coordinate travel, meetings, expenses, and events while helping the team stay organized and operating efficiently. This role is ideal for a proactive, detail-oriented professional who can anticipate needs, manage competing priorities, and work effectively with senior leaders and key stakeholders.
Essential Duties and Responsibilities

Provide senior-level administrative support to the Investments team and Chief Investment Officer.

Coordinate team, Board, and senior leadership travel, including itineraries, lodging, and transportation.

Process team expense reports, invoices, and accounts payable requests accurately and on time.

Coordinate team meetings, including logistics, room setup, technology, materials, and catering.

Prepare and distribute meeting agendas, materials, minutes, and action items.

Support internal and external events, including planning, vendor coordination, and day-of logistics.

Maintain organized records related to expenses, travel, meetings, and team activities.

Anticipate team needs, manage competing priorities, and respond effectively to time-sensitive requests.

Handle confidential and sensitive information with discretion and professionalism.

Other duties as assigned
Qualifications

Previous administrative support experience, preferably supporting senior leaders or executive-level teams.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Experience coordinating complex travel, meetings, and events.

Familiarity with expense reporting, invoice processing, and accounts payable procedures.

Strong written and verbal communication skills, including experience preparing agendas and meeting minutes.

High level of attention to detail, accuracy, and follow-through.

Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

Ability to work independently, anticipate needs, and exercise sound judgment.

Demonstrated discretion when handling confidential or sensitive information.

Professional, collaborative approach with the ability to work effectively across all levels of an organization.

Ability to meet project deadlines in a fast-paced environment.
